Deltek Vantagepoint API integration

In this article, we will review how to import team members and incentive form data from Deltek Vantagepoint.

Vantagepoint Info Requirements

  • URL for the Vantagepoint API
  • Client ID
  • Client Secret
  • Database name
  • Username & Password - note that this user should have the necessary permissions/access in order for data to be pulled properly

Import Team Members from Deltek Vantagepoint

  1. On the Team Members page in ourlinQ, click the import button: 
  2. Select "Deltek Vantage" in the "From" dropdown
  3. Enter credentials/Deltek info.  Example:

    • After successful authorization, options are now available to pull team members from Vantagepoint:

    • Click "View Team Members" (leave the "Action" dropdown with "Import" selected)
    • After team members are displayed, to import them:
      • Click the checkboxes in the far left column for those team members that should be included
      • Select the Pools/Elective accounts the team members should be eligible for (this is optional)
      • "Email Sign-in Link" setting - if turned on, the imported team members will receive an email with a link to sign in to ourlinQ
    • Once the import is complete, the team members that were imported will have a checkmark icon in the "Imported" column indicating they have been imported:

    Sync ourlinQ Team Member Supervisors with Vantagepoint Supervisors
    1. Following the steps 1-4 above for importing team members
    2. Select "Sync" from the "Action" dropdown box
    3. Click "Sync Supervisors".  This will update supervisors in ourlinQ to match those in Vantagepoint.  Once complete, a message will appear indicating a success or error with syncing.

    Import Incentive Forms From Projects in Deltek Vantagepoint

    1. On the Incentive Forms page in ourlinQ, click the import button: 
    2. Select "Deltek Vantagepoint" in the "Import from" dropdown
    3. Enter credentials/Deltek info (see example above)
    4. After successful authorization, options are now available to pull data from Vantagepoint using various filters:

      • Date Field - By default, the standard Deltek Vantagepoint field "ModDate" (Modified Date) is used.  "CustBonusEligibleDate" is also available in the dropdown.  This is the custom field name and would need to be added in Vantagepoint to be useable.  If there is another custom date field that is used inVantagepoint to flag when projects become eligible for use in ourlinQ, that field can be added to the dropdown by clicking the gear icon to the right of the dropdown:

      • From Date/To Date - the date range to pull projects based on the Date Field specified
      • Profit Field - this field can optionally be used to populate the Actual Profit field in ourlinQ.  "CustProfit" is there in the dropdown as a suggestion, but this custom field or another custom field will need to be added in Vantagepoint.
      • Status - filter by statuses
      • Project Level - determines at what level to pull projects
      • Charge Type - filter by charge types 
      • Project Manager - filter by project managers
    5. After selecting filters, click the "View Projects" button to display projects.  Note that when pulling large amounts of info from Vantagepoint (such as large date ranges and less-strict filters) the data can take up to a minute or more to display.  If an error occurs after a long request, most likely a timeout has occurred pulling data from the Vantagepoint API.  In this case, try using a smaller date range and/or more-strict filters.

    6. After projects are displayed, to import them:
      • Click the checkboxes in the far left column for those projects that should be included
      • Select the incentive template 
      • "Require all team members" setting - if turned on and some team members are on the project that are not found in ourlinQ, errors will occur when importing
      •  "Email project managers" setting - if turned on, the project managers will receive an email indicating that forms have been imported
    7. Once the import is complete, the projects that were imported will have a checkmark icon  in the "Imported" column indicating they have been imported:
